This position is responsible for providing clerical support and administrative assistance to Education and Culture Programs (Culture, Education, Head Start, Youth Services and the Education & Cultural Programs Director).
High school diploma or GED and two years clerical experience in a general office setting, –OR– an equivalent combination of education and experience –OR–satisfactory completion of a related Work Experience placement and demonstrated skills to perform the duties for this position. Knowledge of: Correct punctuation, capitalization, spelling, and grammar. Processing and paying utility and other bills. Microsoft Suite Scanning. Experience in: Working with word processing, database, and spreadsheet software, preferred. Working with office equipment including: computers, photocopier, calculator, FAX, and multi-user telephone system, preferred. Working with the public and maintaining good working relations with co-workers. Ability to: Type 40 words per minute accurately. Communicate effectively, both written and verbal. Work under pressure with the flexibility to handle several tasks at one time. Demonstrated characteristics of tact, diplomacy and mature judgment in working with target populations and individuals of varying social, educational and economic backgrounds. Other: Must be a dependable self-starter and able to work independently under minimal supervision. Must adhere to the confidentiality of information and individuals as described in the CTSI Management Manual and other applicable federal laws and regulations. Must understand and adhere to CTSI confidentiality policies and federal FERPA laws. Must possess a valid Oregon State driver’s license, insurance and be eligible to drive a GSA vehicle.
Provide, clerical, technical and administrative assistance to supervisors and staff, including typing, copying, distributing, filing, monthly mailing, purchasing, scheduling appointments, meetings, and travel arrangements and answering telephones. Provide program, application and referral services to clients. Receive, sort, and distribute daily mail and correspondence. Greet, direct clients and visitors to appropriate personnel and departments, handling routine requests within capabilities. Assist with program operations, and maintain statistical information for Tribal programs, archiving files and records. Assist with on-line programmatic ordering. Attend Education & Cultural programs team meetings and education committee meetings to record meeting minutes. Maintain department files via scanning and hard copy binders. Process and pay all program bills. Reconcile supervisor credit card statements. Provide potential students with information on available education programs and application process. Assist with application review and correspondences for Education & Culture departments. Assist with reports as directed by supervisor. Provide support as needed for all Education & Cultural program events and activities including but not limited to Culture Camp, Run to the Rogue, Pow-Wow, Restoration, TYEE and the annual Easter egg hunt. Assist with department inventory. Organize scholarship applications for the Education Committee each June for review and selection. Other duties as assigned by supervisor.
After the six-month probation the employee will be evaluated of his/her performance and at that time, it will be, decided if the employee is entitled to a regular employee status.

Conditions of Employment
