Introduction:

The Executive staff provides support  to Tribal Council  by ensuring a seamless operation of  managing all daily activities including, but not limited to, all correspondences, maintaining the budget, facilitating meetings, and travel.

Requirements:

Associate’s degree and two years clerical experience – OR – an equivalent combination of education and experience.  Knowledge of:  Dictation equipment (i.e. digital and cassette tape recorder/transcribers).   Correct punctuation, capitalization, spelling, and grammar.  Document formats and clerical procedures.

Experience in:  Proficient use of Word, Access, and Excel software, preferred.   Ability to: Type 45 words per minute and after six months of employment must be able to type 55 words per minute. Maintain filing system.   Relate to the tribal council, CTSI staff, Chinook Winds staff, tribal members, and the general public.  Other: Excellent organizational skills.   Must be able to work and attend meetings on evenings and weekends.   Must be willing to travel outside of the Siletz area.   Must possess a valid Oregon State driver’s license, insurance and be eligible to drive a GSA vehicle.

Duties:  Attend General Council meetings, including recording and transcription of meeting minutes. Copy, scan and mail/email Tribal Council information packets.   Assist in preparation and distribution of meeting agendas, notebooks, and notices.   Upload meeting agendas, resolutions, and minutes to CTSI Website on a monthly basis. Open, sort, and distribute mail.  Prepare Tribal Council’s annual calendar of meetings and events. Make travel arrangements for Tribal Council Members, including conference registrations as necessary. Maintain accurate and complete office filing including motions, resolutions, minutes, ordinances, and civil code records.  Record and process Tribal Council time sheets, purchase orders, and check requests.  Complete quarterly inventory for tribal administration’s supply of cups, salmon packages, and blankets. Scan Minutes, Resolutions, and other correspondence into Laser Fiche Program in coordination with the Executive Secretary. Provide information to Tribal population and staff regarding Council activities.  Research documents as requested or required.  Answer the phone and record messages. Order office supplies. Other duties as assigned

All new employees will serve a six-month probationary period to enable the General Manger to determine their suitability as a tribal employee. After the six-month probation the employee will be evaluated of his/her performance and at that time, it will be, decided if the employee is entitled to a regular employee status.

Conditions of Employment
