Introduction

CTSI is pleased to offer a sign-on bonus for this position of $1500. The selected applicant shall receive one-half the incentive in the first paycheck and the second half after successful completion of 6 (six) consecutive months of employment provided the employee remains employed.  The Sign-on Incentive is not part of the base salary calculation and is considered taxable income.  The Sign-on Incentive is not included in retirement salary calculations.  A full copy of the incentive policy is available upon request.

This position is the primary contact between Tribal Administration, Tribal programs, and contract attorneys. This position performs specialized confidential secretarial, technical, and administrative support duties, including (but not limited to) taking and transcribing of complex, specialized, or highly technical legal dictation, preparing correspondence, court filings, and maintaining up-to-date files and libraries, basic research, and record keeping.

Requirements

This position requires a high school diploma or GED and one year of post-secondary business school plus 3 years of progressive experience as an assistant in a legal office or senior administrative level.  Additional higher education may substitute for some experience. Knowledge of: Modern legal secretarial and legal office principles, organization, practices, and methods. Special practices, technicalities, formats, and work methods for a legal department. Advanced punctuation, capitalization, spelling, grammar, proofreading, filing, and writing format. Various types of office equipment, preferred. Experience in: Computer applications including Microsoft Office and Laserfiche, preferred. Progressively responsible experience in a legal setting, preferred. Ability to: Relate well to the public and fellow employees. Requires the ability to initiate, develop, and maintain office information systems. Requires the ability to conduct research from various sources, to perform basic mathematical operations, and to prepare legal correspondence and briefs from draft materials and standing instructions. Requires the ability to originate, organize, and maintain legal case files. Requires the ability to understand statutes, court decisions, ordinances, resolutions, and legal documents. Requires the ability to write correspondence on complex and sensitive matters in a professional manner. Requires the ability to maintain confidential and sensitive information. Prioritize work in order to meet multiple deadlines and conflicting schedules and maintain calendars. Requires the ability to work in a fast-paced environment with continually changing priorities and deadlines, to remain calm, and to work productively as a member of a team. Type 40 words per minute. Perform all of the relevant duties of the position. Other: Must not have any felony conviction. Must not have any adverse child welfare involvement within the past ten years. Must possess a valid Oregon State driver’s license, insurance and be eligible to drive a GSA Vehicle.

Duties:

Provides a full scope of senior-level secretarial services, often of a confidential or sensitive nature to the legal department having considerable dealings with customers within and outside the organization, both as individuals and groups. Composes correspondence and other documents of an important and often confidential nature from dictation, brief instructions, notes, or personal knowledge and research.  May require the selection and use of formats found in the legal profession. Indexes and files correspondence, reports, and other materials according to a prescribed breakdown.  Independently classifies material when proper classification is not immediately discernable. Searches information from files, records, and libraries, compiling and preparing summary reports.  May involve statistical calculations, checking, balancing, and other related presentation formats. Screens incoming calls, mail, and visitors, evaluating the relative importance of each and independently resolving routine matters or referring to others. Attends non-routine, often confidential, meetings to record significant elements of discussion and record official action verbatim.  Prepares files, greets attendees, and initiates follow through communications. Assist with copying and routing reports to staff and community partners such as District Attorneys, Tribal Court, Law Enforcement Department. Works with law enforcement personnel, Tribal Court staff, District Attorney staff, and appropriate resources/providers to obtain information and reports and service of process. Assist with filing of court documents on behalf of Legal Counsel. Coordinates with outside Legal Counsel as required. May maintain certain fiscal records for the department budget, fund or case account, preparing and distributing invoices, requisitions, and reimbursements. May monitor progress of claims and cases, noting and focusing on critical dates, notifying others of required communications, and working with other departments and staff for testimony and response. Performs other duties as required to accomplish the objectives of the position.

After the six-month probation the employee will be evaluated of his/her performance and at that time, it will be, decided if the employee is entitled to a regular employee status.

Conditions of Employment
